Cancellation Policy

We understand that situations arise that may require you to cancel or reschedule your therapy session. This policy outlines the expectations associated with cancellations, as well as our guidelines for repeated cancellations and emergency situations.

We do offer appointment reminders; but, please don’t solely rely on these. We all know that technology can fail! We will not waive fees for appointments missed due to lack of appointment reminder.

Tip: Make it a habit to save your next appointment to your phone calendar at the end of every session and add a reminder notification for 2 days prior. If you don’t know how to do that, just ask us!

Giving Us a Heads Up

We ask for at least 48 hours notice if you need to cancel or reschedule your session. While that’s the minimum, giving us as much notice as possible is really helpful – it gives us the chance to offer your spot to someone else who may need it.

Late Cancellations and No-Shows

If you cancel or reschedule with less than 48 hours notice, or just don’t show up for your session, we’ll need to charge the full session fee. We know things can come up, and in special situations, your counselor may decide to waive the fee. Any outstanding fees will need to be taken care of before you book your next session. Remember, pivoting to a virtual session can ensure you stay on-track with treatment and avoid an unnecessary fee!

If Cancellations Start Adding Up

We know life can be unpredictable, but frequent cancellations can interrupt the progress we’re making together. If you cancel or reschedule more than two sessions with less than 48 hours notice within three months, we’ll have a conversation about what’s going on. It might even be worth considering a referral to another counselor  or taking a break if scheduling continues to be tricky.

When Life Throws You a Curveball

Emergencies happen, and we totally get that! If something urgent comes up, like an illness, injury, or a family emergency, just let us know as soon as you can. In these situations, the cancellation fee may be waived at your counselor’s discretion.

Life throws us curveballs, too! We appreciate your understanding and flexibility when they pop up for us. Pivoting to a virtual session is often an option that will work great in these situations.

For any scheduling concerns, including cancellations, especially last minute (within 48 hours), please reach out directly to your counselor. During your first session, we’ll also talk through any additional details you might need to know about our cancellation process.
